About the Role

Highly reagarded 7bn AUM Real Estate Secondaries firm seeks Executive Assistant to joining a growing team in the real estate private equity space.

  • Provide support to Chief Investment Officer and Head of US  Investments, and Investment team staff (2-3 VPs)

  • Calendar management.

  • Knowledge and experience with Salesforce.

  • Ability to be discreet with sensitive or confidential information.

  • Research issues, gather data, and develop materials for internal and external meetings.

  • Manage, research venues and assist with corporate events planning

  • Manage and oversee philanthropy programs such as matching gifts program

  • Extensive phone coverage and screening.

  • Organize domestic and international travel arrangements and provide detailed travel itineraries.

  • Process expense reports and time sheets in Tripsware.

  • Update and create powerpoint presentations (basic to        complicated type)

  • Schedule meetings, conference calls, and Teams virtual        sessions.

  • Arrange breakfast/lunch for internal and external meetings and oversee conference room set-up.

  • Prepare letters, memos, and presentations as needed

  • Maintain and organize files.

  • Open and organize incoming mail and FedExes.

  • Fulfill personal requests as needed.

  • Provide support to other executives when assistants are away

  • Proactively assist with special projects.

  • Provide relief for the receptionist and  back up for the admin team.

  • Take part in required weekly Investment team meetings and calls.

  • Serve as Notary on documents as needed.

  • Administrative Assistance - on an as-needed basis: copying,  filing, faxing, etc.

  • Perform other duties/projects as assigned

Requirements

The ideal candidate for this role will be an experienced executive assistant professional with:

  • College Degree

  • Experience as an executive assistance in a top tier financial services organization or real estate private equity firm

  • 5-7 years of extensive executive assistant support

  • Must be able to cope with fast paced, high pressure work environment with tight deadlines and turnaround time

  • Notary Public (desirable but not required)
